Payments and service providers

Payments may be processed by third-party payment providers such as Stripe or another booking or payment platform we use. We do not store full card details on our own systems.

We may also use third-party providers to help us operate our website, bookings and communications, such as our website host, booking platform, email provider, form software and analytics tools. These providers may process personal data on our behalf or as independent controllers depending on the service they provide.

Marketing communications

We may send you updates about classes, camps, events or offers if you have asked to receive them, or if you have booked with us and the law allows us to contact you about similar services.

You can unsubscribe from marketing emails at any time. We will still send service-related messages where needed, such as booking confirmations, cancellations, schedule changes or safety information.

2.Terms and Conditions

About these terms

These Terms & Conditions apply to all bookings, coaching sessions, holiday camps, events and related services provided by Lakeside Tennis Academy.

By making a booking with us, you confirm that you accept these Terms & Conditions.

Who may book

• Bookings for children under 18 must be made by a parent or legal guardian.

• By booking on behalf of a child, you confirm that you are authorised to make the booking and that the information you provide is accurate and complete.

• You must update us if any important details change.

Our services

We provide tennis coaching, camps, sessions, events and related activities for children and, where offered, adults or families.

Session details, times, prices and availability are shown on our website or booking system and may be updated from time to time.

Booking and payment

A booking is only confirmed once the required booking details have been completed and payment has been received in full, unless we have agreed otherwise in writing.

We reserve the right to refuse or cancel a booking where places are unavailable, the booking information is incomplete or inaccurate, payment is not made when due, or we reasonably believe the booking is not suitable for the participant.

Medical, behavioural and emergency information

Parents or guardians must tell us about any medical conditions, allergies, injuries, additional needs or behavioural issues that may affect a child’s safe participation.

We may refuse participation if we believe we do not have the information, staffing or facilities needed to support a participant safely. In an emergency, you authorise us to seek appropriate first aid or emergency medical treatment if we are unable to contact you immediately.

Inclusive participation and safety

Lakeside Tennis Academy is a group coaching environment. We aim to be welcoming and inclusive, and we encourage parents or guardians to contact us before booking if their child has any medical, behavioural, communication, sensory, mobility or additional support needs.

We will consider each child’s needs on a case-by-case basis and discuss whether reasonable adjustments may be possible within our staffing, facilities and coaching environment. However, we may not be able to offer a place, or may need to stop participation, where important information has not been disclosed in advance, the child requires a level of specialist provision, personal care or continuous 1:1 support that we are not reasonably able to provide, or participation would present a genuine safety risk to the child, other participants or staff.

Drop-off, collection and supervision

Parents or guardians are responsible for ensuring that children are dropped off and collected safely and on time.

Children remain the responsibility of their parent or guardian until they have been signed in or handed over to our coach or staff member, and again from the time the session ends or the child is signed out or collected. We are not responsible for children outside booked session times.

Participant conduct

All participants and parents are expected to behave respectfully towards coaches, staff, other children and other visitors.

We may refuse entry or remove a participant from a session, without refund where reasonable, if behaviour is unsafe, disruptive, abusive or inappropriate, or if a parent or guardian behaves aggressively or unreasonably towards our team.

Health, safety and fitness to participate

• Participants should only attend if they are well enough to take part safely.

• Please do not attend if the participant is unwell, has symptoms of a contagious illness, or has an injury or condition that makes participation unsafe unless appropriately disclosed and cleared.

• Suitable sports clothing, footwear and weather-appropriate items should be worn.

Weather and session changes

As tennis is partly an outdoor activity, sessions may occasionally need to be changed, postponed, shortened, moved or cancelled due to bad weather, unsafe court conditions, coach illness, low numbers, venue issues or events outside our reasonable control.

Where a session cannot go ahead, we will aim to offer a rearranged session, credit or refund, where appropriate.

Cancellations by you

• More than 7 days before the session or camp starts: full refund minus any clearly stated non-refundable booking or payment processing fees.

• 3 to 7 days before the session or camp starts: 50% refund or credit.

• Less than 72 hours before the session or camp starts: no refund, unless we are able to fill the place or exceptional circumstances apply.

• Non-attendance: no refund.

Cancellations by us

We may cancel a booking or session if there are insufficient numbers, a coach becomes unavailable, the venue cannot be used, safety concerns arise, or circumstances beyond our reasonable control prevent delivery.

If we cancel before the session starts and no suitable alternative can be offered, you will receive either a full refund for the affected session or a credit or transfer option, if you prefer.

Refunds

Where a refund is due, it will normally be made back to the original payment method within a reasonable period.

Refunds will not usually be given for missed sessions, failure to attend, late arrival or early collection, removal from a session due to serious misconduct, or circumstances clearly outside our control where a fair alternative has been offered, unless the law requires otherwise.

Photography and Video

We may take photographs or short videos during sessions or events for coaching records, internal administration, and to promote Lakeside Tennis Academy. We will only use identifiable images of children on our website, social media, or other promotional materials where we have clear consent from a parent or legal guardian. Consent can be withdrawn at any time by contacting us, but this will not affect materials already published before withdrawal. We will respect any non-consent or safeguarding restrictions and ask parents and guardians not to photograph or film other children without appropriate permission.

Personal belongings

Participants bring belongings at their own risk. We are not responsible for loss, theft or damage to personal items unless caused by our negligence.

Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, or any other liability that cannot legally be excluded.

Subject to the above, participation in sport involves an element of inherent risk, parents and guardians are responsible for providing accurate information and ensuring the participant is fit to take part, and our liability for losses arising out of our services shall be limited to the amount paid for the relevant booking, except where the law provides otherwise.

Complaints

If you are unhappy with any part of our service, please contact us first and we will try to resolve the matter fairly and promptly.

Changes to these Terms

We may update these Terms & Conditions from time to time. The latest version published on our website will apply to future bookings.

Governing law

These Terms & Conditions are governed by the law of England and Wales.

3. Accessibility Statement
